Job descriptionTo provide full administrative support to the editor and editorial and production team in London, and to help out with web production process, accounts management and readers’ enquiries.

Key Tasks

  • Proactive and efficient diary management for the editor, ensuring correct priority when scheduling appointments and good communication on arrangements with all parties concerned.
  • Understanding and effectively managing internal and external correspondence including emails, in terms of priority and escalation.
  • Screening all incoming phone calls, letters, e-mails and contributions from readers, ensuring all queries are recorded and communicated with staff concerned.
  • Working closely with and fostering good working relationships with FTChinese’s admin assistant in China and the PA’s of relevant supporting departments at the FT. 
  • Accurate and timely transferring of translation materials between different production platforms, and ensure effective communication with our translation team in China, concerning transferring of translation material.
  • Tracking and maintaining accurate records for team’s holiday and sick leaves;
  • Assisting accounts management: preparing and checking invoices and payment details for translators, contributors and authorized business expenses. Liaison directly with accounts departments in London and Beijing.
  • Assisting business travel arrangement and preparing itineraries.
  • Organising events and coordinating arrangement for external visitors, including booking conference rooms and hospitalities.

Essential skills      

  • Native Chinese speaker or speaking Mandarin Chinese as first language.
  • Very good command of English, both verbal and written.
  • Excellent interpersonal communication skills,
  • University degree level
  • Previous experience as admin assistant is preferred
  • Excellent communication skills, both verbal and written
  • Highly organised, with the ability to plan and prioritise workload.
  • Close attention to detail
  • Ability to work in a high-pressure environment to meet deadlines.
  • Excellent IT skills including advanced MS Office, Lotus Notes.
